5 advices to better manage your time and that of your collaborators

Time is a precious good and in a company it is directly connected to productivity and saving money. For you who are an entrepreneur, here are 5 advices to manage it well and ensure that your collaborators are not wasting theirs and that they are using it at the best:

1. Time tracking system

You probably have heard about the utility of writing to do list. This suggestion is always valid but it so even more if you’re making use of a Time tracking system. The software and digital apps for the management of time provide several functions from personal tasks’ dashboard to Gantt’s diagrams and are integrated with file sharing tools. In this way in addition to having a tool for managing your time, you will also have available a platform that allows you to keep eye on your collaborators’ one as well. So that they will also have to get used to organise their own tasks in an organised and shared way.

2. Learn to delegate

You cannot do everything by yourself. You have to learn to delegate. Decide what and to whom but keep in mind that your leadership is also measured by this. Don’t think for example about delegating only marginal aspects of your work to formally reward one of your collaborators. The choice has to fall on tasks that take away precious time from you and on people who you feel can carry out task with the same care and attention you would put into it. Remember that delegating is an art based on trust and patience. An effective delegation makes relationships more solid and at times it can also unveil hidden talents.

3. Management committees and Technical committees

Promote the institution of bodies attended by the leading figures of the company, management committees where the key functions periodically gather: planning and control, sales, marketing, programming, production, finance, logistics, human resource, IT, etc.

You will be able to follow the performance of their work through the shared software you use to manage your time and monitoring that of others. If your company only has middle management or professionals, creating technical committees made of heads of departments, centre managers and project managers would have the same result of management committees: more sharing equals less wasted time.

4. Be there when needed

Your presence in the company beside your collaborators is not always useful. At times it could made both waste time by taking you away form more compelling duties and putting them in a stressful situation which could easily be avoided. Decided when to be with them and when to meet them based on clear goals, always keeping in mind what the company needs: check the state of a project, resolve a criticality, attend a meeting to which your authority or your approval is necessary.

5. Work and make work on the go

Take advantage of every possibility offered today by technology to work and make work in optimal conditions even outside the office. To do so, use state-of-the-art devices which support advanced systems of communication and file sharing. Also check the possibility of introducing in some cases smart working, that sees people carrying out their own tasks remotely. In businesses that up until now have adopted it have increased their productivity. Focus on this and on the results.
